We are the data controller for the personal information described in this policy. Our ICO registration number is ZC270774.
If you have any questions about this policy or your information, email contact@easearchlegal.com.
The information we collect
If you are a law firm or client, we collect your name, firm, role, email address, phone number and anything you tell us about the role you are hiring for.
If you book a call with us, we collect your name, email address, firm, title, what you would like to discuss and the time you choose. Bookings are made through our scheduling provider, Calendly, and calls take place on Zoom.
If you request one of our guides, we collect your name, firm, email address and whether you work at a law firm or as an Executive Assistant.
If you are an Executive Assistant or candidate, we may collect:
- your name and contact details;
- your resume, career history, current role and location;
- salary and notice period details you share with us;
- your assessment responses and results;
- our notes from conversations and interviews;
- references, with your agreement.
We get this information from you directly, through our website forms or in conversation. As a search firm, we also find candidates through professional sources such as LinkedIn and other public profiles. If we first learned about you that way, we will tell you when we contact you and point you to this policy.
How we use your information
- To respond to enquiries and arrange calls.
- To find, assess and introduce Executive Assistants for roles at our client firms.
- To contact candidates about roles that match their experience.
- To send the guides you request and, if you have agreed, occasional insights. You can unsubscribe at any time.
- To manage our client relationships, invoices and placement terms.
- To meet our legal, tax and accounting obligations.
Our lawful bases
Under UK data protection law we rely on:
- Legitimate interests, to run our search business, contact candidates about suitable roles and respond to enquiries. We only do this where it doesn't override your rights.
- Contract, where we work with a client firm or take steps you ask for before agreeing terms.
- Consent, for marketing emails and for introducing you to a client firm. You can withdraw consent at any time.
- Legal obligation, where the law requires us to keep records.
Who we share it with
We never introduce a candidate to a client firm without that candidate's agreement. When you agree, we share your resume, assessment results and our view of your suitability with that firm.
We also use trusted providers to run our business, including our website host, email provider, scheduling and video call providers, and assessment platform. They only use your information on our instructions.
We may share information with professional advisers, or where the law requires it. We never sell personal information.
International transfers
Our clients are in the United States, so some information is sent there, and some of our providers store data outside the UK. When that happens we use the safeguards UK law requires, such as the UK–US data bridge or approved contract terms.
How long we keep it
- Candidates: 2 years after our last contact, unless you ask us to delete it sooner or we place you in a role.
- Clients and placements: 6 years after our work ends, to meet tax and legal requirements.
- Guide downloads and marketing: until you unsubscribe.
Your rights
You can ask us to:
- give you a copy of your information;
- correct anything that is wrong;
- delete your information;
- limit how we use it, or stop using it;
- send your information to you or another organization in a usable format.
You can also object to our use of your information and withdraw consent at any time. Email contact@easearchlegal.com and we will reply within one month. If you live in the United States, you may also have rights under your state's law, and we will honor requests on the same basis.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put things right first.
Cookies
Our website does not use advertising or analytics cookies. To display the site and its typefaces, your browser connects to our website host and to Google Fonts, which receive technical information such as your IP address. Information you send through our forms is received by our website host and passed to us by email. If you book a call, you will use Calendly's booking page, which has its own privacy and cookie policy.
Keeping your information safe
We use secure, access-controlled systems and limit access to the information we need to do our work.
